NOTICE: We may use, disclose, and sell or share personal information, including voice recordings and biometric information, and may use personal information to train and improve artificial intelligence models. Please read this Privacy Policy carefully. If you are a California resident, see the “California Privacy Rights” section below.
Glass Automations, LLC (“Glass Automations,” “Company,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy describes how we collect, use, retain, disclose, and otherwise process personal information in connection with the website located at https://glassautomations.com/ and the AI-enabled call-answering, call-fielding, and scheduling services and related features we provide (collectively, the “Services”).
This Privacy Policy applies to information we collect through the Services and in communications between you and the Services, including telephone calls and messages handled through the Services. It does not apply to information collected by any third party or through any website or service that does not link to this Privacy Policy.
Who this policy covers. We provide the Services to businesses that perform auto glass repair and replacement services (each, a “Business Customer”). When a Business Customer uses the Services to field and schedule communications, we collect and process information about the individuals who contact the Business Customer (each, an “End Consumer”), as well as information about the Business Customer’s personnel who use the Services. This Privacy Policy describes our own privacy practices. Business Customers are responsible for their own privacy practices and for providing any notices to, and obtaining any consents from, End Consumers as described below and in our Website Terms and Conditions.
By interacting with the Services or providing us with information, you agree to the collection, use, and disclosure of information as described in this Privacy Policy.
Children’s and Minors’ Data
The Services are not intended for, and we do not knowingly collect personal information from, anyone under 18 years of age. If we learn we have collected personal information from a person under 18 without required consent, we will delete it.
Personal Information We Collect
“Personal information” is information that identifies, relates to, describes, or can reasonably be linked with a particular individual or household. The categories of personal information we collect or process include:
- Account and contact information — name, business name, postal address, email address, and phone number of Business Customer personnel.
- Payment information — payment card and billing information (processed through our third-party payment processors).
- Account and subscription history — subscription plan, transactions, and usage history.
- Voice recordings and call content — audio recordings, transcripts, voicemails, and the content of calls, messages, and other communications from or with End Consumers handled through the Services.
- Scheduling and service information — appointment, booking, vehicle, service-request, and calendar information provided by or about End Consumers.
- Contact information of End Consumers — names, phone numbers, and other contact and communication details captured during calls or communications.
- Biometric information — to the extent the Services generate or process voiceprints or other voice-based biometric identifiers in connection with call handling or AI processing.
- Device and technical information — IP address, device and browser information, and usage details collected automatically through cookies and similar technologies.
- Inferences and derived data — insights, summaries, and analytics we derive from the above.
Some of this information — including voice recordings and biometric information — may be considered sensitive personal information under applicable law.
How We Collect Information
- Directly from you — when Business Customer personnel register, subscribe, configure the Services, make a payment, or communicate with us.
- From End Consumers and communications — when End Consumers call, message, or otherwise communicate with a Business Customer through the Services, we collect and record the communication and related information.
- Automatically — through cookies, web beacons, and similar technologies as you use the Website.
- From third parties and integrations — from Third-Party Integrations you connect (such as telephony providers, calendars, and CRM systems) and from our service providers and payment processors.
How We Use Information
We use personal information to:
- Provide, operate, maintain, secure, and support the Services, including answering, recording, transcribing, routing, and processing communications and scheduling and calendaring appointments;
- Manage accounts, subscriptions, billing, and renewals, and send related notices;
- Communicate with you about the Services and respond to requests;
- Develop, train, validate, test, tune, improve, and enhance our Services and artificial intelligence models (including large language models and other AI technology), and develop new products and services;
- Create de-identified, anonymized, and aggregated data, which we may use and disclose for any lawful purpose;
- Analyze usage, measure performance, and improve and personalize the Services;
- Protect the rights, property, safety, and security of Glass Automations, our customers, End Consumers, and others, and detect and prevent fraud and misuse;
- Comply with legal obligations and enforce our agreements; and
- For any other purpose disclosed to you or with your consent.
AI Training Disclosure. We use personal information (including voice recordings, transcripts, and other call content) to train, fine-tune, and improve our artificial intelligence models and the Services, and to develop and commercialize new products, services, and features. We may retain and continue to use models, improvements, insights, and de-identified or aggregated data derived from this processing on a perpetual basis.
How We Disclose Information
We may disclose personal information:
- To service providers and contractors that perform services for us (such as hosting, telephony, transcription, analytics, payment processing, and security), subject to appropriate confidentiality and use restrictions;
- To Third-Party Integrations you designate (such as calendars, CRM systems, and telephony providers), as needed to provide the Services;
- To our affiliates and subsidiaries;
- In connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, in which personal information is among the transferred assets;
- To comply with law or respond to legal process or governmental requests, and to protect our rights, property, and safety and those of others; and
- With your consent or as otherwise disclosed at the time of collection.
De-identified and aggregated data. We may use and disclose de-identified, anonymized, and aggregated information without restriction.
Sale or sharing. Depending on how our commercialization and data-use practices are characterized under applicable law, some of our disclosures or uses of personal information (including for AI training and commercialization, and disclosures to third parties) may be considered a “sale” or “sharing” of personal information. See “California Privacy Rights” below for opt-out rights.
Notice Regarding Call Recording and End Consumer Consent
Communications handled through the Services are recorded, transcribed, and processed. Business Customers are responsible for providing all legally required notices to, and obtaining all legally required consents from, End Consumers before recording or processing their communications, including under applicable call-recording, wiretap, all-party-consent, and biometric privacy laws. If you are an End Consumer and have questions about how a particular Business Customer records or uses your communications, please contact that business directly.
Cookies and Tracking Technologies
We use cookies, web beacons, and similar technologies to operate the Website, remember preferences, and analyze usage. You can set your browser to refuse or disable cookies, but some features may not function properly. Some browsers offer a “Do Not Track” or Global Privacy Control (GPC) signal; we will honor GPC signals as required by applicable law.
How We Protect Information
We use commercially reasonable administrative, physical, and technical safeguards designed to protect personal information. However, no system is completely secure, and we cannot guarantee the security of information transmitted to or through the Services. Any transmission is at your own risk.
How Long We Keep Information
We retain personal information for as long as reasonably necessary to provide the Services, operate our business, comply with legal obligations, resolve disputes, and enforce our agreements, and for safety, security, and fraud prevention. At the end of the applicable retention period, we delete, destroy, or de-identify the information. De-identified and aggregated data, trained models, and improvements derived from personal information may be retained and used indefinitely.
Your State Privacy Rights
Depending on your state of residence, you may have rights to access, correct, delete, and obtain a portable copy of your personal information, and to opt out of certain processing (including sales, sharing/targeted advertising, and profiling). The scope of these rights and applicable exceptions varies by state. To exercise these rights, contact us as described in “Contact Information.” We will not discriminate against you for exercising your rights. You may appeal a denial by email to [email protected].
